Delta will rely on the instructions and information provided by this Designated Group Lead or Travel Agent.

It is the responsibility of the Designated Group Lead or Travel Agent to provide Delta with accurate contact information, including email addresses and phone numbers, for every passenger in the group. This ensures that all affected passengers can be promptly notified of any significant flight delays, changes, or cancellations. Furthermore, when discussing fares and booking details with your group members, you must comply with all applicable laws and regulations. Remember, the information pertaining to your group booking is confidential between Delta and the Designated Group Lead or Travel Agent, and therefore, individual group members will not receive information directly from Delta.

Flight Details and Flexibility

For delta airlines group travel, certain aspects differ from individual bookings. Group tickets are not eligible for SkyMiles upgrades. Mileage accrual for group travel will follow the SkyMiles program policy for unpublished or opaque fares, which may differ from standard fare classes. All travel booked under a group contract is subject to Delta’s contract of carriage (and general rules tariff) and all applicable fare rules and restrictions. Each passenger is individually responsible for ensuring they possess all necessary travel documentation, such as passports and visas, to comply with government travel regulations. Delta Airlines is not liable for any travel disruptions or issues arising from a passenger’s failure to have proper documentation. While Delta strives to maintain schedules and aircraft, the airline reserves the right to change equipment or schedules without prior notice due to operational needs.

Managing Flight Disruptions (Delays, Changes, Cancellations)

Delta Airlines has specific policies in place to manage flight disruptions for delta airlines group travel. If a group flight experiences a significant delay, change, or cancellation after tickets have been issued, the Designated Group Lead or Ticket Agent, acting on behalf of the group, has the option to cancel the flight and receive a refund for the unused portion of the tickets and any prepaid ancillary services, including baggage fees. Each group passenger authorizes the Designated Group Lead or Ticket Agent to act as their agent in exercising this right.

To qualify for a refund due to flight disruption, several conditions must be met: the ticket must be issued on DL-006 ticket stock, the flight must be marketed by Delta (including Delta Connection and codeshare partners), and the disruption must fall into one of the defined categories. These categories include:

  • Earlier Departure:
    • For tickets issued before October 28, 2024: 120 minutes or more for both domestic and international itineraries.
    • For tickets issued on or after October 28, 2024: 180 minutes or more for domestic itineraries or 360 minutes or more for international itineraries.
  • Later Arrival:
    • For tickets issued before October 28, 2024: 120 minutes or more for both domestic and international itineraries.
    • For tickets issued on or after October 28, 2024: 180 minutes or more for domestic itineraries or 360 minutes or more for international itineraries.
  • Change of Airport: Departing from or arriving at a different airport than originally scheduled.
  • Routing Change: A change in the flight path that adds one or more stops to the original itinerary.
  • Downgrade in Service Class: Being moved to a lower class of service than originally booked.
  • Flight Number Change: A change in the flight number.
  • Operating Carrier Change: A change in the airline operating the flight, such as from Delta Mainline to a Delta Connection carrier or vice versa.

If a significant flight disruption occurs and the Designated Group Lead or Ticket Agent does not rebook or cancel the group reservation within 7 calendar days of receiving notification, Delta will automatically cancel the group reservation. In such cases, a refund for the unflown portion of the group tickets and any unused prepaid ancillary services will be issued back to the original form of payment.

Deviation Policies for Group Travel

Deviation policies are important to understand when planning delta airlines group travel, as they address changes to individual itineraries within the group. A deviation is defined as any change to the date, time, or routing of a flight. While deviations are possible, they may be subject to different fares than the main group fare. It’s crucial to remember that even with deviations, the main group must still meet the minimum group size requirements.

Delta’s deviation policy allows for flexibility. Before the group’s utilization date, an unlimited number of passengers can deviate from the group itinerary on either the outbound or return flight without incurring a deviation fee, and they will still receive the applicable group fare. However, after the utilization date, deviations are more restricted. A maximum of 30% of the group may deviate on the outbound or return flight, and these deviations are subject to a nonrefundable deviation fee: US$25.00 per person for domestic flights and US$50.00 per person for international flights, in addition to any applicable fare difference. The percentage of passengers allowed to deviate is calculated based on the total number of seats initially held by the group as of the utilization date.

Passengers who need feeder flights (traveling from a different city to connect with the main group) are not included in the deviation limitations and can be arranged at any time before ticketing, subject to the applicable fare for the new itinerary. Credit card is the only accepted payment method for deviation fees and any fare differences, and payment is required when the deviation is booked. After tickets have been issued, passengers can still make changes, but they will be subject to the applicable ticket change or reissue fee, as well as any fare difference. Once travel has commenced, routing changes are not permitted. However, changes to the return travel date or time only may be allowed, subject to the applicable fare, ticket reissue fee, and any fare difference.

Utilization and Cancellation Policies

In exchange for Delta holding seat inventory for a group, a cancellation fee, as listed in the Group Contract, may be assessed per seat if the group fails to meet ticketing deadlines or does not utilize at least the minimum utilization percentage of reserved seats specified in the contract.

If a deposit is required for your group booking, certain rules apply. If the group does not meet the minimum size of 10 passengers, or if individual members do not travel with the group, the deposit will be forfeited. In these cases, passengers wishing to travel will be considered individual travelers and must purchase tickets at the then-available published fares. Conversely, if the utilization is listed as 100%, the deposit will be refunded for all ticketed passengers after travel commencement.

If a group uses some, but less than the required utilization percentage of seats, a cancellation fee will be charged for each seat below the utilization requirement minimum, as specified in the Group Contract. If all seats on a group reservation are canceled after the utilization date, the entire deposit will be forfeited, unless otherwise required by law. Deposits are generally refunded only for ticketed passengers and after the commencement of travel. Any applicable cancellation fees will be deducted from the deposit on file.

To ensure proper processing of cancellations, it is the group’s responsibility to obtain a cancellation reference number from Delta for complete cancellations. Delta’s business records will be the definitive source for determining the time and date of any cancellation. Partial cancellations do not require a cancellation reference number. Whenever reductions, deviations, feeder additions, or other itinerary changes are made, a new confirmation letter will be issued to reflect the updated details. Until the last day to cancel or reduce without penalty, 100% of the seats may be canceled without incurring a cancellation fee. From the last day to cancel/reduce without penalty up to the applicable ticketing due date, the group must maintain the minimum main group utilization requirement percentage of seats held to receive a full deposit refund.

Legal and General Provisions

The legal framework governing delta airlines group travel contracts is clearly defined. All matters arising from or related to the Group Contract are governed by and enforced according to the laws of the United States of America and, where not preempted by Federal law, the laws of the State of Georgia, without regard to conflict of law principles. The Group Contract, including the Ticket, Fare Rules, and Contract of Carriage, constitutes the entire agreement between Delta and the group, superseding all prior agreements or understandings, whether oral or written. No other covenants, warranties, or understandings are implied.

Delta Airlines is not liable for any punitive, consequential, or special damages arising from or connected with the Group Contract or the services provided, even if Delta was aware that such damages might occur. Delta is also not liable for damages resulting from compliance with laws, government regulations, or a passenger’s failure to comply with such regulations, or reliance on Delta’s advice regarding these regulations. Delta’s decision to enforce or not enforce any provision of the Group Contract does not constitute a waiver of its rights regarding that provision or any other provision. Importantly, no agent, servant, or representative of Delta has the authority to alter, modify, or waive any provisions of the Group Contract or these Terms and Conditions.
